Quote-to-Load Win Rate: How to Measure and Improve It

Your quote-to-load win rate tells you how often a quote turns into a booked load. It's one of the most useful numbers a brokerage can track, and one of the least tracked, because lost quotes usually vanish in the inbox.

How to calculate it

Win rate = loads booked from quotes รท quotes sent

Use a consistent period, such as a week or a month, and count only quotes that received a priced reply. Requests you declined or couldn't cover are a separate metric.

Segment it

An overall win rate hides most of the story. Break it down by:

  • Lane: where are you competitive and where not?
  • Customer: who books often, and who uses you only as a price check?
  • Equipment: van, reefer, flatbed
  • Rep: who wins more, and what do they do differently?
  • Response time bucket: under 5 minutes, 5 to 15, 15 to 60, over 60

That last cut is often the most revealing. If quotes sent within 15 minutes win far more often than quotes sent after an hour, speed is your fastest lever. See why quote response time decides who wins the load.

Read win rate together with margin

  • Low win rate, high margin: you may be pricing above the market. Check against market data.
  • High win rate, low margin: you may be leaving money on the table. Test slightly higher prices on strong lanes.
  • Low win rate, normal margin: look at speed, clarity and service before cutting price.

Why most brokers can't measure it

Quotes go out by email. Booked loads are recorded in the TMS or a spreadsheet. Lost quotes leave no record at all. To measure win rate, you need every quote logged with:

  • Date and time received and replied
  • Customer, lane, equipment
  • Price quoted
  • Outcome: won, lost, no response

How to improve it

  1. Reply faster. See how to quote freight faster.
  2. Make quotes clearer with templates.
  3. Focus on lanes and customers where you win. See how to win more loads.
  4. Follow up once before the quote expires.
  5. Learn from losses: ask shippers occasionally why they went elsewhere.

Automating the measurement

When quotes are drafted and sent through a quoting tool, every quote is logged automatically, and wins can be matched to booked loads. Hopelight Quote tracks reply time and win rate by rep, customer and lane, so you see what's working every week without building spreadsheets.
