For Outlook & Microsoft 365
Price and reply to freight quotes without leaving Outlook
Price and answer truckload quote requests inside Outlook. Hopelight Quote reads each request, prices it with your rates and margin rules, and drafts the reply for your rep to send.
Free 1-week pilot. No credit card. Nothing is sent without your rep’s OK.
If your brokerage runs on Microsoft 365, your quoting desk lives in Outlook: shared mailboxes, folders per customer, and reps juggling the inbox with RateView, a TMS and a spreadsheet of past quotes. Hopelight Quote brings the pricing to the email, so every quote request already has a priced, ready-to-send reply waiting in the conversation.
How it works in Outlook
- Connect the mailbox your shippers write to with Microsoft sign-in. It works with Outlook on Windows and Mac, Outlook on the web, and shared mailboxes.
- Each request is read when it lands: lane, stops, equipment, dates, weight, commodity, temperature and accessorials, even from forwarded chains or pasted tables.
- The lane is priced with your data: your DAT RateView subscription for the market rate, your lane history, and your margin rules by customer, lane and equipment.
- The reply is drafted in the same conversation, with the all-in rate and how long it is valid. Your rep reviews and sends it from Outlook.
When a request is missing something a broker needs, the draft asks for it, for example the pick-up date, the weight or the reefer set point.
Why brokers on Microsoft 365 use it
- Shared mailboxes stay shared: quotes@ keeps working the way it does today. Drafts appear where your team already looks.
- Consistent pricing across reps: everyone quotes with the same margin floors and targets, with manager approval above or below the limits you set.
- A record of every quote: reply time, price, margin and outcome are logged automatically, so you finally know your win rate by lane and by rep.
- No new tool to learn: reps keep working in Outlook. The Hopelight dashboard is there for owners and pricing managers.
The numbers that matter
A rep who spends 15 minutes per quote on 40 requests a day spends about 10 hours a day on quoting alone. With the draft waiting in Outlook, review takes a minute or two. The time saved goes to calling shippers and covering loads, and faster replies win more of the freight you already see. Try the numbers for your desk with the ROI calculator.
Frequently asked questions
Does it work with shared mailboxes?
Yes. Connect the shared mailbox your shippers write to. Drafts are created in that mailbox for any rep with access.
Is an Outlook add-in required?
No installation is needed on each computer. The mailbox is connected once with Microsoft sign-in, and drafts appear in Outlook on every device.
Can it send replies on its own?
No. Every reply is a draft. Your rep checks the price and clicks Send.
Do you store our emails?
Only what is needed to draft quotes and show your quote history and analytics. We never sell your data or share your rates with other brokerages, and you can ask us to delete it at any time.
Do we need our own DAT RateView subscription?
For live market rates, yes. Without it, drafts are priced from your lane history and margin rules.
