Privacy Policy

This policy explains what personal information Hopelight Labs LLC ("Hopelight", "we", "us") collects, why, and the choices you have. It covers our website hopelightlabs.com, the Hopelight Quote application at app.hopelightlabs.com, and the Hopelight Network.

Information we collect

When you visit our website

Basic visit data. Our own analytics record the page you viewed, the referring page, your browser type, device type and language. We do not use cookies or any browser storage for this, and we don't keep your IP address: we turn it into a short code that changes every day, so we can count visits without recognizing you from one day to the next. If your browser sends a "Do Not Track" signal, we don't count your visit at all.
Forms. When you request a demo or contact us, we receive what you type: typically your name, work email, company, phone number and message.

When you use Hopelight Quote (brokers)

Account information: your name, work email, company, role and password (stored only as a secure hash).
Customer content: the quote requests you process, including emails connected from Gmail or Outlook, quotes, margin rules, lane history and attachments you upload.
Billing information: handled by Stripe. We receive your billing contact, plan and invoice history, never your full card number.
Integrations: if you connect Gmail, Outlook, DAT or other services, we store the access tokens needed to work with them, encrypted.

When you use the Hopelight Network (shippers and brokers)

Shipper accounts: company, name, work email, optional phone, and the loads you post (lanes, dates, equipment, weight, notes).
Broker listings: brokerage name, MC number, lanes, equipment, contact details you choose to publish, and the offers you send.

Security data. To protect the service, we log requests that look abusive (for example repeated failed sign-ins or automated scanning), including the IP address involved, and keep these logs for a limited time.

How we use information

To provide and support the service you signed up for, including drafting quotes, routing shipper requests to matching brokers, and showing offers to the shipper who asked.
To bill paying customers and send service messages.
To keep the service secure, prevent fraud and abuse on the network, and comply with the law.
To improve the product, using aggregated or de-identified data.

We do not sell personal information, and we do not use customers' emails or quote data to train AI models for other customers.

Within the Hopelight Network: a shipper's request and contact details are shared with the brokers who serve that lane, so they can quote it. Each broker's offer is shared only with the shipper who asked. Broker listings are visible to signed-in network members.
Service providers that process data on our behalf under contract: hosting (Hostinger), payments (Stripe), AI processing for reading and drafting quotes (Anthropic, through its API), and email and calendar providers you choose to connect (Google, Microsoft).
Legal reasons: when required by law, or to protect the rights, safety and property of our users or Hopelight.
Business transfers: if Hopelight is acquired or merged, information may transfer to the new owner under this policy.

Advertising and cookies

Our website may show ads served by Google AdSense. Third-party vendors, including Google, use cookies to serve ads based on a user's prior visits to this website or other websites. Google's use of advertising cookies enables it and its partners to serve ads to you based on your visits to this site and/or other sites on the Internet.

You may opt out of personalized advertising by visiting Google's Ads Settings. You can also learn how Google uses information from sites that use its services at policies.google.com/technologies/partner-sites, and opt out of some third-party vendors' use of cookies for personalized advertising at aboutads.info.

Visitors in the European Economic Area, the United Kingdom and Switzerland are asked for consent before advertising cookies are used, through Google's consent message.

The Hopelight Quote application uses one essential cookie to keep you signed in. It is not used for advertising.

How long we keep information

We keep account and customer content for as long as your account is active, and delete or anonymize it within 90 days after an account is closed, except where we must keep records longer for legal, tax or security reasons (for example invoices). Demo requests are kept for up to 24 months unless you ask us to delete them sooner.

Security

We encrypt data in transit (HTTPS) and encrypt stored integration credentials. Passwords are hashed. Access to production systems is limited to the people who need it. No system is perfectly secure, so please use a strong, unique password.

Your choices and rights

You can ask us to access, correct, export or delete your personal information, and to stop processing it for a given purpose, by emailing contact@hopelightlabs.com with "Privacy" in the subject. Depending on where you live (for example California under the CCPA/CPRA, or the EEA and UK under the GDPR), you may have additional rights, including the right to complain to your local data protection authority. We will not discriminate against you for using these rights.

When we process customer content inside Hopelight Quote (such as emails from a broker's shippers), we do so on behalf of that broker, who decides how it is used. Requests about that content may be passed on to the broker.

Children

Our services are for businesses and are not directed at children under 16. We do not knowingly collect their information.

International transfers

We are based in the United States and process information there. If you use our services from another country, your information is transferred to the United States.

Changes to this policy

We will post any changes on this page and update the date above. If a change is significant, we will tell account holders by email before it takes effect.
